JOB VACANCY – LOGISTICS SUPERVISOR – FULL TIME – 100%
Logistics Supervisor at Médecins Sans Frontières March, 2024
Title: Logistics Supervisor
Direct Reports: LOGISTICS COORDINATOR
Location: DAR ES SALAAM

MAIN PURPOSE
To Supervising the daily logistics activities of the Mission coordination for a smooth running of the facilities in perfect conditions and collaborate in the development of the mission, Transport, to the MSF equipment,, staff movement, people safety and security according to MSF standards and protocols.

ACCOUNTABILITIES
o Monitoring maintenance activities of infrastructures, management of non-medical stocks and equipment according to MSF standards
o Ensuring the check and follow-up of facilities under the line manager’s supervision through daily visits to the facilities and reporting any anomalies or problems, evaluation of the rehabilitation needs and following up minor building rehabilitation work according to supervisor’s instructions; checking that premises observe security norms and monitoring the consumption of mechanical and electrical vehicles/machines/devices.
o Planning together with the Logistic coordinator the required checks and maintenance activities of energy systems/set-up in the facilities according to MSF standards
o Coordinating and leading the logistics team under his/her responsibility which includes daily supervision, monitoring of the quality of work and the definition of each person’s task, drawing up their working schedules; organizing and leading team meetings; participating in the recruitment of team personnel and attending logistics meetings and accounting for his activities.
o Ensuring the vehicle fleet maintenance which includes planning and overseeing timely preventive and curative maintenance of all project vehicles according to MSF standards and instructing and monitoring drivers on correct driving habits/welfare, and standard checks.
o Managing and following up orders which includes collecting logistics orders coming from different departments or health facilities; drawing up and following up orders according to the procedures in force; providing technical support to the storekeeper, makes local purchases according to MSF supply procedures and ensures reception conditions of freight or arriving material as well as the organization and setting up of materials before its shipment
o Planning coordination vehicles movements, tracking individual trips, and ensuring implementation of security measures
o Renewing the Mission vehicle insurance.
o Vehicle maintenance and periodical service are followed.
o Tracking consumption of supplies, fuel, lubricants, used in different facilities (office, ware house, residences etc.).
o Checking the maintenance of the various open spaces (gardens, courtyards…) and ensuring that domestic waste is correctly discarded.
o Checking and ensuring the maintenance of all MSF premises and facilities, as well as the general water supply, electrical, walls, ceilings ect. and security conditions. In this sense, making inspection visits to assess the rehabilitation needs of facilities.
o Performing maintenance of logistics equipment for cold chain, energy, Office equipment, Guest house in particular:
Ø Regular maintenance of Track My Stuff, Inventories and the reallocation of equipment under the logistic.
Ø Checking the quality of the work carried out on generators and electrical installations.

o Preparing orders for his sector activity, do the follow-up, and checking their proper reception and state.
o Carrying out local purchases and ensuring that the line manager is aware of any problems linked to the quality or availability of the items to be purchased.
o Participating in trainings at the request of the line manager.

Minimum Educational Qualification:
  • Essential: Diploma in logistics
  • Experience: At least one year in MSF or 2 years in a similar post out of MSF
  • Minimum 1-2 years in supervisory role
Knowledge:
  • Essential computer literacy (word, excel and internet)

Languages:
o Fluency in English and Kiswahili.

JOB VACANCY – WORKSHOP SUPERVISOR
Workshop Supervisor at Médecins Sans Frontières March, 2024
Title: Workshop Supervisor
Duration: 12 months (Fixed Term Contract) – Full time position (100%)
Direct Reports: Logistics Coordinator
Location: Mainly in Kibondo with frequent movements to all MSF Tanzania Projects

Required Criteria:
Minimum Educational Qualification:
· Essential driving license and formal training in mechanics

Experience:
• At least 2-3 years’ experience in similar jobs

Languages:
· Essential mission language: English and Swahili (Kirundi and/or French will be a plus.)

Objectives of the position:
Supervising and monitoring the implementation of the daily mechanical servicing activities in the capital and project according to MSF standards, protocols, and procedures in order to ensure the efficient running of the workshop and the mission’s vehicles and motorized engines.

Main Responsibilities:
• Supervising and monitoring on a day-to-day basis the implementation of the mechanical servicing activities in the mission ensuring compliance to MSF standards, protocols, and procedures. This includes the following tasks:
• Ensuring the mechanical repairs and maintenance of the vehicles and motorized engines (generators, motor pumps, etc.). Supervising, organizing, and planning the schedule for the periodic servicing of all vehicles (corrective, predictive and preventive) and motorized engines both for the capital and field, in order to ensure optimal working conditions of the fleet and extend its longevity.
• Following the Logbook and to ensure safe working conditions, supervising the services performed by the mechanics, assistant mechanics, drivers and or trainee agents and if necessary, performing the special and complex services referred to in the logbook deciding whether a vehicle requires an urgent or unscheduled intervention.
• Managing, organizing, and identifying the spare parts, consumables and tools required by the fleet and his/her team, evaluating local providers suitability, and placing the corresponding order to ensure on time delivery, cost efficiency and quality. Monitoring incoming and outgoing deliveries of spare parts and consumables (fuels, lubricants, etc.) and informing the line manager of stock levels on a weekly basis, in order to ensure availability and rationale use as well as a continuous delivery service between the capital and field.
• Supervising and leading the logistic team under his/her responsibility including the definition of each person’s tasks (daily supervision and checking the quality of their work); drawing up working schedule; organising and leading team meetings
• Planning and supervising the HR processes (recruitment, training, performance evaluation and internal, external communication) of the drivers and mechanics in order to ensure both the sizing and the amount of knowledge required for the activity.
• Providing monthly activity reports and implementing reporting practices and protocols in order to ensure that all vehicle documentation is in order and inspection reports are conveniently filled by the drivers.
• Performing delegated tasks according to his her speciality and as specified in his/her job description.

CONTEXT SPECIFIC ACCOUNTABILITIES:
In charge of technical support to the project workshop mechanics to ensure smooth running of the mission fleet.
· Ensure maintenance of over 15 vehicles in the mission
· Ensure Maintenance of all mission vehicles both the project and the coordination
· Inc charge of technical support to the mechanics and their assistants that they perform their duties in accordance with Job Description under their responsibilities.
· Ensure mechanic orders are done in collaboration with the project LTLs in a timely manner and to minimize ruptures.
· Give technical support on training of drivers, and technical evaluation of the project mechanics.
· Ensure mechanic reporting tools are in use and the information is integrated into the field logistics monthly report.
· Ensure that the workshop Asset inventories are reported in Track My Stuff
