Overview:
Henry Jackson Foundation Medical Research International (HJFMRI) is an international nongovernmental research organization working in several countries providing care and treatment to people affected by HIV/AIDS and has been actively involved in HIV and AIDS programming for over 30 years.
HJFMRI implements PEPFAR-funded HIV prevention, care, and treatment activities in the Southern Highlands Zone of Tanzania (Southern Highlands Program) and country wide for TPDF providing resources, personnel, and technical support for service provision. The program has expanded from supporting the Mbeya Zonal Referral Hospital to becoming a hub for anti-retroviral treatment in the Southern Highlands Zone to community support through decentralized services, with the overall objective of implementing clinical HIV prevention, care, treatment and research services in Mbeya, Rukwa, Katavi, Ruvuma, and Songwe regions in the Zone.

JOB DESCRIPTION
Position: Receptionist/Travel Assistant
Reports to: Administrative Services Manager
Location: Mbeya HQ

Job Purpose:
The Receptionist/Travel Assistant is responsible for providing support and assistance to the Administrative Services Manager and all Directors in order to ensure that program services are provided in an effective and efficient manner. S/he will assist the Administrative Services Manager with scheduling appointments, coordinating travels and meetings; handle front office reception and administration duties, including greeting visitors, answering phones, handling company inquiries, and sorting and distributing mails as well as schedule meetings and travels for the entire program team.

Job Duties and Responsibilities:
• Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries;
• Directs visitors by maintaining employee and department directories and giving instructions;
• Maintains security by following procedures; monitoring logbook and issuing visitor badges;
• Maintains telecommunication system by following manufacturer's instructions
• Maintains safe and clean reception area by complying with procedures, rules and regulations;
• Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs;
• Collects, Sorts and distributing incoming and outgoing mails, parcels and documents;
• Answers inquiries from vendors and other government and non-governmental organizations;
• Calls persons waiting for visitor and book them a room to meet in;
• Update and Manage appointment calendars;
• Schedules follow-up appointments;
• Keeps up to date with current airfare promotions and hotel pricing, to provide information to staff and program visitors;
• Conduct regular security checks throughout the day and report any security issues to line manager;
• Reports any maintenance issues immediately to line manager, including all furniture, fittings and equipment;
• Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics;
• Assist Administrative Service Manager to schedule Executive Director's/Directors appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travels as requested.
• Organizing and maintaining Program files and records;
• Assist minutes taking for the HOD meetings; as requested.
• Making travel and hotel reservation bookings for program staff and HQ visitors;
• Receiving and crosschecking travel and logistics request before submission to Administrative Services Manager for review Maintains Confidentiality of all company confidential information and senior management confidential information.
• Handle of Petty cash for Administration expenses.
• Organize event for Program activities/functions.
• Handle register book for incoming and outgoing letters.
• Filing of documents per HJFMRI filing system.
• Contributes to team effort by accomplishing related results as needed.
• Any other duty may assigned by any of Senior Officer/HoD. 

Education and Experience:
• Diploma/Advanced Diploma or bachelor degree in business administration or management or its equivalent;
• Knowledge of principles and practices of basic office management.
• Information technology knowledge.
• Knowledge of computers and relevant software applications.
• Knowledge of customer service principles and practices.

Job Summary:
The Data Demand and Information Use (DDIU) Advisor is responsible for the design and implementation of the program’s monitoring and evaluation system. S/he provides support to M&E department in developing/adjusting internal systems to collect and analyze the data used to measure the program’s key performance indicators to improve quality and efficiency of data systems and program performance. S/he will be responsible for developing HJFMRI databases to cover program’s data need. The employee performs a variety of technical and computer support functions to Medical and Outreach partners in Southern Highlands. This position will also ensure ongoing technical support and capacity building of program staff to increase data use. Additional duties to include development of dynamic visualization of HJFMRI data as requested by both internal and external stakeholder and coordination with program staff and partners to assess performance, historical trends and identify programmatic gaps.

The DDIU advisor must have the ability to communicate to various audience using analytic abilities, project management skills, and technical knowledge. S/he will be required to travel in across the country on occasional bases to support partners in data management issues. The Advisor will report to the SI director. This position will be based in Mbeya HQ Office; however the person will serve both Southern Highland and Tanzania People’s Defense Forces (TPDF) programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
The DDIU Advisor will be required to work together with SI team and other program staff in Southern Highlands region to:
• Provide technical knowledge in translating program needs into data visualization in collaboration with technical staff to ensure data accessibility and use.
• Lead development of analytics to inform monthly technical data review meetings in collaboration with technical staff
• Perform knowledge transfer around using data visualizations to HJMFRI technical staff, RHMT, CHMT and Local Implementing Partners using IMPACT, DATIM, and DHIS2.
• Perform data review and verification of all external presentations through triangulation of various data sources such as IMPACT, DATIM, DHIS2, & CTC2 database.
• Liaise with HMIS Advisor to:
• Develop, manage and implement the project’s Data Management systems, including relevant performance indicators, baselines, and annual targets and ensures compliance to PEPFAR requirements.
• Develops/adapts tools for data collection; designs and implements surveys and other data collection tasks.
• Provides monitoring data regularly that strategically inform the decisions on project performance and future direction to the WRP-T management team;
• Enters and submits all training data into TRAINSMART Database
• Troubleshoots data submission errors and data error issues
• Provides on-going consultation and technical assistance to Partners regarding database administration
• To ensure the data quality control through a data validation plan, data queries, programming consistency checks and data cleaning as well as through coding and harmonizing of information
• Perform any other duty as you may be assigned by the supervisor

QUALIFICATIONS AND REQUIREMENTS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Required educational qualification/ Experience
• Bachelor’s Degree in Computer Science, IT, Health Informatics with good programming skills. Masters Degree in Data Management or Public Health Informatics will be of added advantage.

Technical Skill Requirements
• Computer literate in Microsoft Excel, Word, Access and database administration.

• Expertise in DHIS2, DATIM, IMPACT, CTC2 database, pharmacy module, Electronic Medical Records (EMR) and others.
• Ability to communicate technical data to non-technical audiences
